Grant Thornton (Vietnam) Limited is an independent member firm of Grant Thornton International. We are a leading professional services organisation in Vietnam providing Audit, Tax, Advisory and Business Process Solution services. We have a professional team of 12 Partners and more than 380 professional staffs in offices located in Hanoi and Ho Chi Minh City.
In order to meet the demand of our growing practices, we are looking for a qualified candidate to fill in a position of Advisory Client Admin of our Hanoi office. Detailed tasks of and required qualifications for this position are as follows:
Essential Duties and Responsibilities
1. Client records and engagement support
- Support the preparation of service proposals (PL) and Engagement Letters (EL) under the guidance of Managers/Directors/Partners.
- Input and maintain client and engagement information in internal systems (PL Database, EL Database, PMS, GTonic).
- Perform and follow up conflict checks (ICC/IRC) in accordance with firm procedures.
2. Billing and coordination with Accounting
- Register job codes and billing codes in the PMS system.
- Prepare billing on PMS and coordinate approval with Managers/Directors/Partners.
- Coordinate with the Accounting team on VAT invoice issuance after client payment.
- Track billing status and follow up when required.
3. Report issuance and file management
- Support report issuance processes: printing, scanning, sending reports to clients as instructed.
- Track report checklists, archiving deadlines and job completion status.
- Manage and archive project files on SharePoint in compliance with internal policies.
4. Administrative support to Partners and Directors
- Support business travel arrangements when required (tickets, accommodation, logistics).
- Assist in preparing periodic internal administrative reports.
- Perform other administrative tasks as assigned by Advisory management.
Qualifications/Skills
Education and career orientation
- College degree or above in administrative, business, accounting, finance, language or related disciplines.
- Clear interest in an administrative / client support career path within a professional services environment.
- Suitable for fresh graduates or candidates with 1–3 years of administrative experience.
Skills
- English at working level:
- Able to read and understand emails, contracts, and templates
- Able to write simple business emails - Good command of Microsoft Office (Word, Excel, Outlook).
- Careful, well-organised, and responsible.
- Able to track multiple tasks and follow up on deadlines.
Desired competencies:
