  • “You” refers to individuals applying for a position with Grant Thornton Vietnam.
  • Grant Thornton (Vietnam) acts as the data controller, responsible for determining how and why your personal data is processed during the recruitment process.

How do we collect your personal data?

We collect your personal data through various sources, including but not limited to:

  • Directly from you, such as through your resume/CV, cover letter, application email, certificates and all other documents submitted during your application;
  • Through communications such as phone calls, emails, meetings, and interviews.
  • From public available sources (e.g. LinkedIn);
  • Indirectly from third parties such as employee referrals, recruitment agencies or job placement service providers and other third-party talent sourcing partners.

What personal data do we collect?

We may collect the following categories of personal data:

a. Basic personal data 

  • Full name;
  • Date of birth; 
  • Gender; 
  • Adress and contact information; 
  • Nationality; 
  • Photographs;
  • Phone number and email address;
  • Marital status;
  • Education and qualifications;  
  • Employment history.

b. Sensitive personal data (if voluntarily provided), including:

  • Income information (if applicable)
  • Ethnicity, religion, and political affiliation (if applicable).

Why do we process your personal data?

We process your personal data for the following purposes:

  • To access your application and suitability for roles at Grant Thornton (Vietnam);

  • To comply with legal or regulatory obligation (if applicable);
  • If you are successful, to manage your employment records in accordance with our Employee Privacy Policy;
  • If you are not selected, to retain your information for potential future opportunities, unless you request otherwise.

How long do we keep your personal data?

We retain your personal data only for as long as necessary for recruitment purposes:

  • Unsuccessful candidates: Up to 24 months after the recruitment process ends unless you request earlier deletion;
  • Successful candidates: your data will be transferred to your personnel file and retained in accordance with our Employee Privacy Policy and applicable laws.

Your personal data will be deleted, anonymized, or securely disposed in the following cases:

  • The applicable retention period has expired;
  • The purpose for which the personal data was collected and processed for recruitment has been fulfilled;
  • You withdraw your consent or submit a request for deletion of your personal data, unless retention or continued processing is required or permitted by applicable law.  

In case you would like to submit any request to withdraw consent, cancel, or delete your personal data, please contact us via email at dataprivacy@vn.gt.com. Within two (02) working days from the time we receive your request, we will acknowledge and respond to your request. The request will be handled in accordance with applicable legal timelines.

How do you provide your consent? 

You may provide consent to the processing of your personal data through:

  • Online applications, platforms, or systems with consent mechanisms;
  • Emails or written communications;
  • Other electronic or verifiable methods in accordance with applicable laws.

 

What are your rights and obligations?

You have the rights to:

  • Be informed about how your personal data is processed;
  • Give or withdraw consent at any time;
  • Request access to, correction or deletion of your personal data;
  • Restrict or object to data processing;
  • Lodge complaints or seek legal remedies in accordance with applicable laws.

  • Respecting the personal data of others;

Who do we share your data with?

We may share your personal data with:

  • Hiring managers involved in recruitment decisions;
  • Service providers (e.g. recruitment agencies, IT systems); 
  • Third parties conduct background checks or reference verification;
  • Competent authorities or required by law;
  • International entities within Grant Thornton network, in compliance with applicable data protection laws

How do you indicate your agreement?

To enable Grant Thornton Vietnam to review your application, we need to process the personal data you provide for recruitment purposes. Please:

  • Read this Recruitment Privacy Statement carefully; and
  • Include the consent statement below in your application email.

Applications without this consent statement will not be processed

“I have read the Recruitment Privacy Statement and consent to Grant Thornton (Vietnam) processing my provided data for recruitment purposes in accordance with applicable data protection laws”

Optional – Retention for future opportunities

If you agree to be considered for future roles, you may additionally include:

“I additionally consent to Grant Thornton Vietnam retaining my application data for future job opportunities for up to 24 months.”

How will you be informed of changes?

This Privacy Statement may be updated from time to time. Any changes will be published on our website and take effect upon posting.
